Managing Your Store Team on Gemvi

As your local storefront grows, listing new inventory and managing customer pickups shouldn't fall entirely on the store owner's shoulders. Gemvi allows merchants to generate secure, dedicated employee accounts in seconds without compromising store security.

Zero Password Sharing & Data Isolation

You never need to hand over your personal login, business email password, or bank/revenue graphs to your cashiers and floor staff. Employees receive their own unique EMP-XXXXXX credentials.

How to Add a Team Member (60 Seconds)

Open Team Manager

Log in as the store owner and navigate to Team Manager (/seller/team.html) from your navigation menu or dashboard.

Click "Add Employee"

Enter the staff member's full name (e.g. "Sarah Jenkins"). The system automatically generates a unique Employee ID (e.g. EMP-3F7K2L) and a temporary password.

Share Credentials

Give the staff member their Employee ID and password. They will log in directly on the Employee Login Portal (/loginemployee.html).

Employee Permissions: What Staff Can & Cannot Do

Gemvi enforces strict permission isolation across all tools to protect merchant privacy:

What Staff CAN Do
  • List Stock: Snap photos on their phone camera, write AI descriptions, and post items to your store inventory.
  • Manage Shelf Items: Edit prices, update item details, or mark items sold in /seller/inventory.html.
  • Process Pickups: Verify buyer 6-character pickup codes and fulfill reservations in /activity.html.
What Staff CANNOT Do
  • View Financials: Cannot access revenue charts or daily sales graphs in /seller/dashboard.html.
  • Modify Store Settings: Cannot alter your store address, operating hours, or contact info.
  • Manage Other Employees: Cannot create, view, or remove other team members.

How Staff Fulfills Counter Pickups

When a buyer arrives at your retail counter:

  1. The customer presents their 6-character Pickup Code (e.g. A4K9P2) from their phone.
  2. Your staff opens the Activity tab (/activity.html).
  3. Staff matches the code with the reserved item and collects payment at the counter.
  4. Staff clicks "Mark Picked Up & Sold" → the transaction completes instantly and inventory counts update in real-time.

Revoking Employee Access

If an employee leaves your store, removing them is instantaneous. Open Team Manager (/seller/team.html) and click the red trash icon next to their name. Their login session is terminated immediately, preventing any further access to your store inventory.
